Covenant College

About Covenant College
Covenant College is a Christian school that supports students from diverse cultural backgrounds in Geelong and the surrounding areas. We collaborate with parents and staff to nurture each child’s passion for learning. Established in 1979, Geelong Christian School (as it was then known) officially opened in February of that year. We have been located on our current 23-acre site since 1983. The school has grown from four classrooms to over 30, including various specialist areas. Over the past 40 years, the school has continued to develop and strengthen its distinct Christian ethos.
Student Count: 822 students
Staff Count: 269
Location: Bell Post Hill, Geelong, Victoria

Our main priorities

  • Improve school timetabling
  • Improve reporting on student wellbeing and attendance
  • Improve administrative workload
  • Establish better communication with parents
  • Enhance school management with extensive functionality

How we selected our software partner

Our primary concern about transitioning to a new system was its financial implications, specifically the costs associated with choosing a new software. The previous system lacked the necessary functionality.

We evaluated several potential software partners and were particularly impressed by Compass’s engagement throughout the process. One of our top priorities was finding a school management system that was user-friendly for teachers, intuitive to navigate, and effective in facilitating communication with parents.

Once we narrowed it down to the final two options, we consulted head teachers to gather their impressions. We then brought in both head teachers and school heads to trial the systems. The feedback was overwhelmingly positive for Compass—they praised its financial value and ease of use. Ultimately, we chose Compass for its seamless accessibility and the way its modules integrate, allowing users to view and manage student information in one place.

Compass is an excellent tool to support student learning and is well-placed to support schools into the future and across Australia.

Our implementation process

When we first decided to implement Compass, we recognised that a smooth transition would be crucial to our success. With 700 students, we needed a system that would not only handle our existing structures but also adapt to the unique features of our educational program.

A major part of the initial process involved substantial data migration to ensure that all student records, attendance histories, and other essential information were accurately transferred. Understandably,  there were some initial concerns, particularly around onboarding new staff and ensuring everyone was confident with the new system.

Thanks to the support provided by the Compass team and the intuitive design of Compass, the transition was smoother than anticipated. Staff adapted to the platform, and the feedback has been overwhelmingly positive. There has been a reduction in admin so staff can spend more time on more valuable work.

Overall, the implementation process required some setup, but the long-term gains in efficiency and staff satisfaction have far exceeded our expectations.

Compass offers a better connection to our school community.

Here’s why Compass was the right choice for us.

  • Chronicle supports student well-being by tracking behaviour and recording positive actions, which are then communicated to parents
  • Consolidate student information and data into one place
  • School reporting has streamlined admin and eased staff workload
  • The mobile app has enhanced communication and engagement with parents
  • Pulse provides valuable insights derived from attendance and wellbeing data

“Data entry that was happening is now shifting to a new focus, which allows us to implement more efficiencies into the school.”

Expectations and initial impressions of Compass

One of our key goals was streamlining our workflows. Although the onboarding and data migration required some effort initially, they have become easier as we move forward. This improvement reduces administration tasks and data entry.Although we still need to perform regular data entry for new students and enrollments, the initial onboarding costs have now decreased significantly. We have also found we need a lot less admin staff, which will save us a lot financially.

We are in the process of implementing the Learning Tasks module in the future. We are excited about its positive impact on parents, students, and teachers. We see a clear connection between the reporting process and learning tasks, which will enhance efficiency in administration and workflows. Additionally, we are exploring the implementation of financial modules for our school.

We are excited about the future of working with Compass. We have been really impressed by the software’s user-friendliness and the support from the Compass team.
